Role Description

This is a part-time remote with full schedule role position. The individual in this role will be responsible to automate the notification, collection and updates for project status using Microsoft SharePoint, Power BI and the client's intranet and internet sites.

    The objective of this engagement is to automate the annual activities associated with the management of the Operational Plan to include the following:
  • Identification by jurisdiction or committee of priorities and projects for the upcoming calendar year.
  • Alignment to the Strategic Initiatives and Priorities.
  • Outlined, detailed tasks that are measurable and intended to be completed in the calendar year.
  • Communication to plan owners calling for semi-annual updates for their projects and identification of new projects.
  • Collection and dynamic updating of the plans from the plan owners.End of year summary of accomplishments to be used for the client Annual Report.

  • Strong Analytical Skills for assessing and improving operational processes
  • Excellent Communication skills for coordinating with various departments and stakeholders
  • Operations Management and Project Management skills for overseeing and implementing automation projects
  • Relevant experience in automation development and planning
  • Ability to work independently and remote

OFFEROR RESOURCE QUALIFICATIONS

Minimum of three (3) years’ experience with the following technologies: Microsoft Power BI, SharePoint and web development.

SCOPE OF WORK

1. Responsible for the following:

a. Providing a repeatable process for notification, collection and updating of project information.

b. Pre-populating existing information into a data collection template and properly associating projects to project owners.

c. Providing transaction tracking for project updates.

d. Providing an archival process for project data.

e. Providing appropriate security ensuring edit capabilities are properly administered.

f. Creating a central repository for the operational plans.

g. Creating data visualization dashboards that can be updated dynamically for both the intranet and internet sites.

h. Providing documentation for the implemented solution.

i. Providing Judiciary personnel with training and/or documentation that thoroughly details (i.e., step-by-step) the process for updating the dashboards.

2. The resource shall use the following requirements to complete the required deliverables:

a. Notification Process

(1) A list of project owners shall be created and be able to be maintained by the client.

(2) Ability to associate projects to the owner(s).

(3) Create a form template to be populated from a central repository, emailed (e.g., message or link) and easily populated.

(4) Ability to send bulk emails on a defined schedule.

(5) Transaction log for sending and receiving correspondence.

b. Update Collection Process

(1) Project owners shall easily be able to provide updates either in the email or via a link to a form.

(2) The updates shall be able to be edited by the project owners.

(3) Project owners shall be able to access their projects and update when desired.

(4) Notification with a summary of updates will be provided to the project owner after successful submission.

(5) Project owners can only update their projects.

(6) Project owners need the ability to create new projects and delete old projects.

(7) Data should be exportable into .csv or .xls.

c. Data Visualization and Reports

(1) Dashboards shall be designed and created for both the client internal (intranet) and external (internet) facing websites.

(2) Dashboards shall be updated dynamically, upon source update.

(3) Create a series of canned reports that are exportable to .xls.
