Responsibilities

  • Serve as the primary virtual receptionist, professionally handling incoming patient phone calls during peak busy periods
  • Manage patient appointment scheduling and coordinate with the practice calendar to optimize patient flow
  • Conduct insurance eligibility verification and accurately input patient information into the practice management system
  • Provide exceptional customer service by addressing patient inquiries and ensuring clear communication
  • Utilize PracticeWeb software to maintain accurate patient records and appointment data
  • Collaborate seamlessly with the on-site office manager and front desk team to ensure smooth operations
  • Participate in ongoing training with potential advancement into billing responsibilities as expertise develops
  • Support practice efficiency by ensuring no patient calls are missed during high-volume period
Requirements
  • Minimum 2-3 years of experience in customer service, administrative support, or healthcare-related roles
  • Strong verbal communication skills with a professional, friendly phone manner essential for patient interactions
  • Experience with dental practice management software (PracticeWeb/Open Dental preferred) or willingness to learn quickly
  • Ability to work dedicated Pacific Time hours (9:00 AM - 6:00 PM PST) Monday through Friday
  • Proficiency in learning new software systems and following detailed healthcare procedures
  • Reliable high-speed internet connection and comfortable using VoIP phone systems
  • Detail-oriented approach with ability to handle sensitive patient information confidentially
  • Self-motivated and able to work independently while maintaining team collaboration
