Dispatcher - Travel Logistics Coordinator
About the Role:
We are seeking a reliable and detail-oriented Dispatcher to coordinate travel arrangements, manage communication with field teams, and provide logistical support outside regular business hours.

- Strong organizational and multitasking skills
- Clear communication, both verbal and written
- Ability to work independently and handle pressure
- Responsibilities:
- Book Flights and Hotels: Arrange air travel and hotel accommodations for field employees, ensuring bookings are efficient and cost-effective.
- Hotel Reservations via CLC: Make and manage hotel bookings using the CLC lodging system. Ensure reservations align with company policy and are confirmed in a timely manner.
- Change Management: Make last-minute adjustments to hotel or flight bookings as needed. Must be available after business hours to accommodate schedule changes and field emergencies.
- Phone Communication: Handle incoming calls from team leaders and field managers, providing real-time support, updates, and instructions.
- Expense Categorization: Accurately categorize and document flight and hotel transactions in Expensify for accounting purpose.
- Invoice Management: Save all invoices in the designated OneDrive folder and maintain an Excel tracking list for organized recordkeeping.
- Coordination: Maintain communication with HR and project managers to ensure all logistics align with staffing schedules and job site demands
