Remote Operations & Team Manager – Virtual Assistant Outsourcing

About the Role:
A growing U.S.-based outsourcing company that supports medical, legal, and executive professionals is seeking a Remote Operations & Team Manager to lead a fully remote virtual assistant team.
This person will manage scheduling, team placements, client communications, and operational tools. The ideal candidate has experience working with medical or therapy offices, understands remote coordination, and thrives in fast-moving, service-driven environments.
- Key Responsibilities:
- Oversee team schedules, coverage planning, and client/assistant placements
- Maintain consistent, professional communication with clients
- Create and manage SOPs using OneNote, OneDrive, and Zoho Projects
- Set up and manage Zoom Phone call queues and assistant routing
- Coordinate onboarding and performance follow-up across the team
- Monitor client satisfaction and resolve or escalate service concerns
- Support client projects involving HIPAA-compliant communication (e.g., EnGuard email)
- Understand operations and workflow common to medical and therapy practices
- Required Qualifications:
- 2+ years managing remote teams or client-facing operational roles
- Excellent communication and organizational skills
- Comfortable using Zoom Phone, Zoho Projects, OneNote, OneDrive, and Office 365
- Familiar with EHR/EMR platforms (SimplePractice, TherapyNotes, Kareo, etc.)
- U.S.-based with reliable availability from 8:00 AM to 6:00 PM EST
- Preferred (Not Required):
- Experience with Jotform is helpful, but not required
- Familiarity with HIPAA protocols or healthcare/therapy workflows
- Previous experience in outsourcing, client success, or VA agency management
- Strong documentation and task coordination habits
- Compensation:
- Flat monthly rate: $2,400, paid semi-monthly ($1,200 per cycle)
- 90-day performance review for potential increase to $2,775/month
- 1099 contractor role with full-time expectations
- Compensation based on role ownership, not hourly tracking
