Corporate Travel & Lifestyle Coordinator

Full-time | Remote | Requires flexibility, rotating weekends, after-hours support, and on-call availability (including rotating holidays and weekdays off when working weekends)

Position Summary:
The Corporate Travel & Lifestyle Coordinator is a high-level support professional responsible for managing all aspects of travel, logistics, and lifestyle coordination for executives, including both personal leisure travel and corporate itineraries. This role blends the duties of a seasoned executive assistant with those of a luxury travel advisor, requiring global awareness, exceptional organizational skills, and the highest standards of discretion and service. The ideal candidate anticipates needs, solves problems proactively, and executes with precision across multiple time zones and demands. Please note this position requires working every third weekend, as well as on call availability.

Key Responsibilities:

    Travel & Logistics Management
  • Plan, coordinate, and manage complex global itineraries including luxury leisure travel, corporate trips, and family holidays
  • Book and oversee all transportation, including first-class and private air, ground transfers, yachts, and chauffeurs
  • Arrange high-end accommodations, villas, and resorts in alignment with client preferences and standards
  • Ensure all visas, travel documents, and insurance are valid and prepared well in advance
  • Maintain updated travel profiles and preferences for principal and accompanying travelers
  • Liaise with private aviation providers, luxury concierge services, and destination contacts
    Executive Support
  • Provide confidential executive assistant support related to travel, appointments, dining etc.
  • Manage calendars and travel agendas with clear, up-to-date documentation
  • Support in logistics for events, meetings, and off-site business functions
    Lifestyle Management
  • Source and secure reservations, entertainment, dining, and bespoke experiences worldwide
  • Handle last-minute changes with speed, discretion, and accuracy
  • Maintaining calm under pressure
  • Offer proactive recommendations based on the executives’ tastes and seasonal interests
    Qualifications:
  • 5-10+ years’ experience supporting UHNWI, executives, or luxury clients in a similar role
  • Proven expertise in luxury and corporate travel planning (international scope essential)
  • Impeccable discretion, judgment, and communication skills
  • Ability to work flexibly across time zones, including evenings/weekends and holidays as needed
  • Strong command of travel tools, GDS systems, and itinerary management

Job Type: Full-time

Pay: $42,000.00 - $45,000.00 per year
