Position Overview

Our client is seeking a Senior Client Service Associate / Executive Assistant to act as the CEO’s right hand and oversee critical business operations. This is a high-impact, non-traditional assistant role designed for a tech-savvy operator who excels in a fast-paced startup or financial environment.

You will lead internal workflows, manage cross-functional initiatives, facilitate company-wide meetings, and implement technology and automation solutions to drive efficiency. This role offers a unique opportunity to contribute to the scale and strategy of an emerging force in the investment space.

Key Responsibilities

Client Service Associate Duties

  • Prepare and process client documentation and transactions

  • Manage client account maintenance and fund transfers

  • Generate billing reports and meeting materials

  • Troubleshoot client issues and manage inbound inquiries

  • Schedule meetings, manage calendars, and log detailed meeting notes

  • Coordinate logistics for client-facing events

Associate Advisor Support

  • Gather and organize financial client data

  • Input and model data in financial planning software

  • Create presentation materials and highlight strategic planning topics

  • Attend and take notes during client meetings

Internal Operations & Team Coordination

  • Oversee employee onboarding, from IT setup to documentation

  • Plan and execute internal meetings, including all-hands and leadership syncs

  • Document and enforce internal processes across HR, compliance, and vendors

  • Identify, fix, and automate broken internal workflows

Technology & Automation

  • Build internal tools and automations using no-code platforms (e.g., Notion, Airtable, Zapier, Coda)

  • Actively use AI tools (e.g., ChatGPT, Claude, Notion AI) to streamline tasks and manage knowledge

Qualifications
  • 4–6+ years of experience in a fast-paced startup, investment firm, or tech company

  • Prior experience in financial services or working with advisors, auditors, or fund administrators

  • Strong written and verbal communication skills

  • Expert with Google Workspace (Docs, Sheets, Slides, Calendar)

  • Highly organized, independent, and able to prioritize in high-pressure environments

  • Proficient in spreadsheets, calendar tools, and documenting workflows

  • Demonstrated problem-solving skills and a bias toward action

Nice-to-Haves
  • Familiarity with CRMs (e.g., HubSpot, Affinity) for managing contacts or deal flow

  • Experience creating internal or external content (e.g., newsletters, social posts, investor updates)

  • Background in investor relations, fund operations, or legal/compliance support
