Executive Assistant - Office Manager

Despite their growth, the culture remains close-knit and personal. Their stunning Sydney office (right above Wynyard Station) is home to a small team with strong tenure — and even includes chef-prepared team lunches every Tuesday and Thursday.
About the Role
This is a trusted, hands-on role supporting the Managing Directors, key senior leaders, and members of the family — blending classic EA duties with broader office and event management. There’s no email triage or red tape here. Instead, you’ll be across everything from travel bookings and family logistics to supplier wrangling, staff onboarding, and keeping the office running to a high standard.
You'll be relied on to use your judgement, take initiative, and bring a sense of care and polish to every interaction — whether you're helping book an overseas trip or organising a Friday drinks function in the office.
What You’ll Be Doing
Executive & Family Support
Book travel and accommodation for both work and personal trips — including multi-leg international itineraries
Provide light diary support to MDs and family members
Coordinate personal logistics (e.g. house renovations, storage, events, appointments)
Liaise with suppliers, review quotes, and push back when needed
Office Management & Team Ops
Oversee office supplies, equipment, and facilities
Oversee front-of-house operations, including supporting and guiding the receptionist
Coordinate staff onboarding and internal training schedules
Organise internal events and guest visits (Friday drinks, team functions, Christmas parties on boats — the works)

You’ve worked closely with founders, private business leaders, or family offices and love being the trusted go-to
You’re polished, perceptive, and detail-oriented — but also hands-on and happy to get things done yourself
You instinctively spot what’s missing, fix it before anyone asks, and don’t settle for the first quote or workaround
You’re tech-savvy and confident using Microsoft 365, SharePoint, and travel/booking platforms

You come from a highly corporate EA background focused on inbox and email management
You prefer a narrow remit or rigid structure — this is a varied, self-directed role
You need hybrid flexibility — this position is 100% based in the Sydney CBD office
