Job Overview:

This role requires a proactive and detail-oriented individual who can seamlessly support the Chairman in both professional and personal capacities, ensuring smooth operations and effective communication across the organization.

Responsibilities

  • Ensure the Chairman's vision and business priorities are effectively communicated to the team. Facilitate business decision-making, strategic planning, leadership meetings, and broader communications.

  • Oversee key projects and initiatives, ensuring that action items are followed up and completed.

  • Manage the Chairman's calendar and schedule meetings. Host internal meetings, taking comprehensive notes of discussions.

  • Follow up on strategic team meetings and project progress. Drive stakeholder reporting to ensure transparency and accountability.

  • Prepare memos and communications content for internal / external audiences

  • Provide support on various ad hoc and administrative tasks as needed.

  • Shadow the Chairman in meetings, gradually taking on tasks to improve efficiency when the Chairman's time is limited.

  • Gain a comprehensive understanding of daily activities within the company. Highlight key updates to ensure the Chairman has a well-rounded context for decision-making.

  • Become the Chairman’s accountability partner by helping in prioritizing the Chairman’s time, recommend key activities for focus, and provide consistent feedback to optimize performance.

  • Manage communications and relationships effectively by building strong partnerships and maintaining reputation for excellence

  • Take initiative in identifying opportunities for the company to optimize collaboration and operate effectively

  • Be a cultural carrier for the team - plan and organize high visibility events

  • Assist the Chairman in managing various aspects of personal life to ensure a balanced and efficient workload.

Requirements

  • Strong-bias for action

  • Strong work ethic and willingness to take on any task

  • Comfortable working in an extremely fast paced and international environment

  • Experience supporting c-suite/senior stakeholders

  • Strong project / program management and organisational skills

  • Highly organized

  • Highly proficient excel skills

  • Excellent verbal and written communication skills

  • Ability to navigate and embrace ambiguity

  • High EQ

  • 4+ years of full-time work experience with at least 2 years as an Executive Assistant
