Talent Acquisition Operations & Coordinator
Berlin – Office-based, Full-Time
12 month FTC
We’re hiring a Talent Ops Coordinator to join our high-performing, fast-moving Talent team 6 strong and scaling. If you know your way around a spreadsheet, GPT isn’t a scary buzzword, and automation might as well be your middle name… read on.
Location
This is a Berlin-based, in-office role (5 days a week). We work best face-to-face fast, iterative, and deeply collaborative.
Own interview coordination – schedule across multiple time zones, align hiring panels, and ensure candidates have a smooth, thoughtful experience
Be the first face candidates see – welcome them to our office, prep rooms, and keep the vibe sharp and professional
Power our recruiting engine – track funnel metrics, maintain clean dashboards, and keep the team one step ahead
Automate and optimise – use tools like Lovable, Zapier, and Ashby to reduce manual work and unlock team speed
Support cross-functional teams – run reports for People Team, pitch in on onboarding, or assist our IT Manager when needed
Prototype internal tools – build mini-systems to streamline referral tracking, offer approvals, or hiring forecasts
Make chaos look effortless – context-switching between scheduling, process, tooling, and data
At least 2 years of experience in coordination or ops within a Talent, HR, or People team
Startup experience is a must, you’re familiar with speed, ambiguity, and fixing things before anyone notices
Strong calendar instincts, juggling interview loops across time zones doesn’t rattle you
Excellent communication skills, warm, crisp, and professional (both in Slack and in person)
Super solid Google Sheets / Excel skills formulas, filters, pivot tables, the works
Familiarity with modern ATS tools ideally Ashby, but Greenhouse or Lever also works
Hands-on with automation tools or willing to dive in — you’re the type who builds rather than waits
