We are hiring for an experienced QuickBooks Desktop professional contractor to assist and guide our accounting department on the proper setup of a QuickBooks company file for hourly and salary employees. The company is migrating from an older accounting system to QuickBooks. The company files have been created and setup but need to be finalized. This company setup will have several employees with a mix of hourly and salary. We are seeking a candidate with hands-on experience in QuickBooks Desktop Enterprise using assisted payroll with a strong accounting background. This role will involve assisting senior accounting staff on properly setting up the company files from start to finish, assisted payroll, adding employees, tax info, classes, payroll, accounts payable (AP), accounts receivable (AR), and the general ledger. The position also involves advising on best practices on importing data from an older accounting system as needed.

Job Duties
• Meet weekly on remote Microsoft Teams meetings until the project is deemed completed by managers.
• Assist accounting staff on setting up and completing our QuickBooks Desktop company file for hourly and salary employees.
• Assist accounting staff on setting up new employees, tax related info, organizing classes, payroll, AP, AR, and the general ledger within QuickBooks Desktop Enterprise.
• Provide advisory assistance to the CIO on best practices relating to the importing of data from an older accounting system to QuickBooks and ensuring accurate data import.
• Provide timely communication on any questions asked from our accounting staff during working hours.
• Ensure that the QuickBooks company file is correctly configured to support the company’s accounting needs. The company file will be on a shared network folder that has already been setup and configured according to QuickBooks support guidelines.
• Offer ongoing support and guidance to our accounting staff as needed.
• Interface with QuickBooks Desktop support as needed.

Requirements
• High school diploma or equivalent; advanced training or certification in accounting or QuickBooks Desktop is preferred.
• Must have good communication skills and speak fluent English as regular communication with our staff will be required.
• Proven experience with QuickBooks Desktop Enterprise, particularly in setting up company files, general ledger, payroll, employee tax info, classes, AP, and AR.
• In-depth knowledge of QuickBooks Desktop Enterprise, including its features and functionalities, limitations.
• In-depth knowledge of accounting principles, methods, general ledger setup, AP, AR.
• Experience and knowledge of the use of QuickBooks assisted payroll.
• Have a reliable and secure high speed internet connection.
• Be available for weekly meetings through Teams or conference calls.
• Be available to be meet on-site at least once a week (if needed) at our corporate office in Tyler Tx.
• Strong understanding of accounting principles and practices.
• Ability to teach and communicate complex concepts in a clear, understandable manner.
• Proficient in using remote communication tools such as Microsoft Teams.
• Proficient in the use of MS Teams, MS Excell, Office applications.

Deliverables

Under the direction of our accounting staff and senior management, provide the following:
• Assist in setting up the QuickBooks company file with employee’s setup correctly for payroll processing, tax information, PTO, vacation for hourly and salary employees.
• Help finalize the proper setup of our GL, AP and AR, Vendors, bank reconciliation process, assisted payroll.
• Assist in the proper setup of classes and sub-classes (if needed) and help implement these as needed.
• Assist in the proper setup and use of lists for tracking expense categories and help implement these as needed.
• Explain how QB keeps track of PTO, Vacation hrs. and assist in setting up these.
• Explain and list the steps to close out the financials for end of year.
• Help create documentation on the QB processes to help other accounting staff.
• Provide weekly reports on work completed.
• Provide a weekly schedule of working hours that will be spent on the project
